Pumpkin Bowl Regatta: Attn New Members!

With the colder weather and rain coming along, it’s time to gear-up for one of the yacht club’s premier events – Pumpkin Bowl.

The club will be hosting the 2018 Harken Pro-Tech Pumpkin Bowl Regatta on October 13-14 2018. This year will be special as we are also running this regatta as part of the Grand Prix Laser District 6 Championships, so some new competitors coming to have the full pumpkin experience.

As a relatively new member, this is a fantastic event for which to volunteer. You may remember as you joined the club, we discussed the value of getting involved, meeting new people and having some fun. Pumpkin Bowl is the epitome of that. (My apologies to those of you who have already received an invite to volunteer…)

Last year's event was a huge success with over 50 races we ran on 4 courses, great positive feedback from competitors and parents, and was an excellent way to showcase WVYC. This was due to efforts of the great group of volunteers that we have each year working to make the regatta a success.

I am pleased to confirm that Stewart Jones will once again be heading up the on the water organization as our Principle Race Officer (PRO). Following last year's successful format, we are looking again to run 4 race courses (Opti Green, Opti Championship, Lasers (including Radial and 4.7), 420s / 29ers / Fevas/ X Class so we especially need seasoned racers / sailors who can help out on the water with mark set / rescue and people with committee boat expertise (we can help train newcomers!).

Please see the list of jobs that we need help with at the bottom and then please let me know if you can help including:

  • Can you help for both days or just Saturday or Sunday?
  • What you can help with (E.G. on the water or shoreside - please see some of the job descriptions at the end of this email)?
  • Are you able to help billeting visiting sailors and their parents? If so, you can also complete the billeting  form available HERE!
  • Are you able to help as a spectator or rescue boat or know of anyone who can?
For high school students, this is a great way to earn volunteer hours. For those of you who volunteered last year, you’ll likely be part of the same team.

We have a talented group of team leads for the various functions, so if you’re able to volunteer, your lead will reach-out to you with further information.

There will be a volunteer orientation including safety briefing on Wednesday October 10 at 7:15 pm. Also, volunteers are invited to a thank-you BBQ dinner on Saturday, October 13th hosted by our Commodore, Phil Aldrich.

I look forward to hearing from you.
Thanks!

------------------------------------

1. On the water: This includes on race committee boats, mark-set, safety boats. This is a great way to watch the racing. No experience is necessary but you need to bring warm, waterproof gear and be happy to be afloat in a small boat for 3 /4 hours.

2. Boat Launch / Recovery: Last year we had well over 100 boats to launch and recover up and down 1 gangway! This was only possible through the great efforts and hard work of the launch/recovery team. This is a great thing to help out with as it gives you the chance to meet parents and sailors. We need volunteers for Saturday and Sunday but also some on Friday night to help with unloading / organisation.

3. Photography: We are looking for an artistic and tech savvy volunteer to join our photograph and social media team. This involves, some or ideally all of the following:
· Taking photos of all aspects of the event; on and off the water, competitors, parents, volunteers, etc
· Taking the best photos of the day, putting them on a USB stick and getting them playing on the big screen in the clubhouse after racing.
· Collating / co-ordinating with other photographers to collect their photos.
· Sort the photos after the event (to the best 100-200!) and uploading them to an event Dropbox folder for all competitors to access and download as a memento.

4. Lunches: Pumpkin Bowl is the only BC Circuit regatta to provide competitor lunches and we need help to supervising and stocking the make you own lunch and well as putting lunches together for the on the water volunteers.

5. Registration: Help with the registration / check in desk on Friday evening and Saturday morning.

6. Billeting: Members and friends of WVYC frequently billet (host) visiting sailors (and their family members) who are participating in club events. This provides an inexpensive way for sailors to attend events at other clubs and also gives them and their hosts, the opportunity to get to know other members of the sailing community. Many long term friendships with sailors from other cities and countries started from billeting with host families. As an NSST parent myself who has billeted kids / parents for the last couple of years, I can say this has been highly rewarding.

Billets provide a place for visiting sailors to stay but not under any obligation to provide food (meals are available at the club). Sailors are often happy to sleep on a couch or camping mattress / foamy on the floor if you have limited beds.

Please fill in the “offer to host” form at: http://www.wvyc.ca/racing/pumpkin-bowl/billeting

7. “Competitor traffic control”: We need some volunteers to help out organize / control the evening meal line up and to oversee the kids in the yachting centre during movie night.

8. Spectator Boats: Pumpkin bowl is pretty much unique in that it offers parents the opportunity to come out and watch the racing on organised spectator boats. This is a great way to come out and watch the action while giving those who don't have access to a boat probably their one and only chance to see their kids racing in the year.
